Crocs - Newsletter Term 2

Croc Families,

We have several “critical” positions available on the Crocs Committee post AGM. We realise many of you have moved onto other sports over the winter season, however we would really appreciate it if you could please review the below job descriptions of the roles we need to fill before we can start planning the next season at the Crocs.

Secretary

  • This role would suit an “organiser / co-ordinator”, someone who can foresee what is coming up in the weeks / term / season ahead and help the Committee plan for these things/events.
  • It will involve liaising with members, the Committee, the P&C and the School.
  • The role can be time consuming but manageable and can be worked around other commitments and family time.
  • It would be great to split the role and share between 2 people. We can discuss this with those interested in taking it on – but possibly the communications side versus all other?
  • We need volunteers willing to step in immediately to start the pre-season commencement from Term 3 (July/August). Deanne is happy to offer a year of training “acting as Shadow Secretary” this season which we, the P&C and School have recommended.
  • Some of the tasks involved in this position are:
    • Pre-Season planning – this would start in Term 3 – liaising with the Committee, School and P&C, distributing flyers and advertising the commencement of next season, including the working bee.
    • Weekly emails to all members during the Season
    • Weekly submissions to the Camp Hill SIPS CPR email during the Season
    • Fortnightly submissions to the Camp Hill SIPS Newsletter during the Season
    • Committee Meetings and AGM – provide an agenda along with taking and distributing minutes to the Committee.
    • Checking the Photo Consent before sharing photos on our display boards, emails, school newsletters, facebook, and the Camp Hill SIPS Year book.
    • Liaise with all the Raffles, BBQ and Canteen convenors re sponsors and prize donors and advertise these via the Nominator (screens on club nights), emails / facebook to members and school newsletters.
    • Co-Ordinate our biggest fundraiser – the Camp Hill Senior School Swimming Carnival in Term 4 – liaising with other Committee members, the School and P&C

Vice Chair

  • Assists the Chair person in leading the Club and remaining unbiased on all issues.
  • Have a good understanding of the Clubs guidelines.
  • Represent the club at the monthly P&C meetings (3rd Tuesday every month) at the school and report back to the Committee.
  • Willingness to attend and/or conduct meetings if the Chair is unavailable.

Raffles Convenor

  • This role involves reaching out to local politicians and businesses to seek donations of raffle prizes.
  • Our families are also welcome to donate raffle prizes and we have a handful that continue to do so each season.
  • Raffle prizes are needed each Friday night and for Carnivals hosted by the Crocs.
  • In return we happily promote the business/politican that has donated prizes both on our screens on during Club Nights / Carnivals and in our newsletters within the Club and Camp Hill SIPS.
  • Paige our previous Raffle Convenor would be happy to offer advice / guidance if needed.

Nominator

  • We need 2+ people for this position and Mark has agreed to stay on as one half of the duo required. It would be wonderful to have an additional 2 people to join Mark in this role so grab a mate and jump in together.
  • This is one of the most important positions on the Committee as we cannot run swimming events (Club Nights / Carnivals) without volunteers in this role, so even if you are only half interested please do reach out and join our team.
  • Some knowledge of computers is beneficial (but not mandatory).
  • The process has been streamlined – and is continually being reviewed for efficiency – so in terms of time required it might need an hour a week usually on a Friday / Saturday.
  • The role involves setting up (online) the club night and carnival meets – which should require about 30 minutes of your time with current systems in place - and cleaning and publishing results which again should take about 30 minutes of your time after the event.
  • There may be another hour or two of your time required to create carnival meet lists along with our Carnivals Convenor about 3 times a season.
  • There is flexibility in any work associated with the role and it can be completed at home at a time that suits and fits in with family and other schedules.
  • Not all facets of the role need to be learnt all at once – it can be a gradual learning system.
  • We are fortunate that Jimmy will still be around to also assist in training for Term 4 only, so it’s a great opportunity to have both Mark and Jimmy available to support you in commencing in this role.
